Three copies of your data, on two different types of storage, with one kept off-site. The off-site copy is what protects you from fire, flood, theft, or ransomware reaching everything on the premises. Many businesses now add an immutable copy that cannot be altered or deleted, because modern ransomware targets backups first.

What do RTO and RPO mean?

RPO, the recovery point objective, is how much data you can afford to lose, measured in time — it sets how often backups run. RTO, the recovery time objective, is how long the business can be down before it hurts — it sets how recovery is built. Agreeing both per system drives every other decision in the plan.

Are Microsoft 365 files automatically backed up?

Do not assume so. Retention in Microsoft 365 is limited and time-bound, and it is not designed to recover from deletion, a departing employee, or ransomware. Confirm the exact mailbox and file coverage in your backup agreement.

How often should backups be tested?

A documented schedule matters more than a fixed number. We set frequency against how critical each system is, record the result of every test, and treat an untested backup as an unproven one.
